Integrations

One Zapier integration, every tool you already use

The EasySolar Zapier integration connects you with 9,000 apps: your calendar, Slack, spreadsheets, your CRM. No code, and no asking a developer for a favour.

You need a Zapier account to connect. The free plan is enough to test your first scenario.

01 · Data flow

Your Zapier integration in one picture

Leads and price lists flow into EasySolar. Meetings, alerts and reports then flow out to the tools your team already lives in. Every line below is a single Zap.

Colour carries meaning here: cool lines bring data in, warm lines send it out. So the whole Zapier integration is really just these five lines, and the four scenarios below are exactly those.

The problem

Retyping data is not work

The same customer goes into EasySolar, then into a spreadsheet, then into the team chat. Every retype costs a minute and adds one more chance to get it wrong.

Meetings in two places

The site visit sits in the EasySolar planner, but the rep's phone only reminds them about Google Calendar events.

Leads waiting for a callback

A form fills in at 9 p.m. and nobody sees it until the next morning, by which time the customer has called someone else.

Summaries built by hand

Someone spends Monday morning counting last week's new customers and projects instead of calling customers.

The price list lives in a sheet

The new module shipment is in Google Sheets, while the component database still holds last quarter's models and prices.

Scenarios

Four automations worth setting up first

Each one takes about fifteen minutes in Zapier. First the benefit, then the exact steps to reproduce it.

The EasySolar planner in everyone's calendar

EasySolar to Google Calendar, Outlook or iCloud

You enter the site visit, the installation or the handover once, in the EasySolar planner. Zapier turns it into a calendar event for the sales rep or the crew, complete with the customer address and the project name. Their phone reminds them, and you stop running two schedules in parallel.

  • Customer address in the location field, so navigation starts with one tap
  • One calendar for installations, another for sales meetings
  • An email invite for the customer as an extra Zap step

How to build it

  1. Trigger EasySolar, New Calendar Event
  2. Action Google Calendar, Create Detailed Event. Map the title, start and end time, description and address.
  3. Optional Google Calendar, Add Attendee(s) to Event, to pull in the customer or the crew lead.

A new lead becomes a customer and pings the team instantly

Lead generator to EasySolar to email, Slack or Teams

A lead from your website form, Facebook Lead Ads or a landing page is created as a customer in EasySolar without anyone copying anything. The same Zap sends an email or a chat message to whoever is on duty, so the callback happens in minutes instead of the next morning. Speed of first contact is what decides who signs the contract.

  • Works with website forms, Facebook Lead Ads, Google Forms and Typeform
  • Message includes name, phone and the source the lead came from
  • Round-robin assignment: route leads to reps by region or by turn

How to build it

  1. Trigger your lead source, for example Facebook Lead Ads New Lead or WPForms New Form Entry
  2. Action EasySolar, Create Client. Name plus latitude and longitude are required, so geocode the address first or pass the coordinates from the form.
  3. Action Slack Send Channel Message, or Gmail Send Email, with the customer name, phone and lead source.

A Monday morning weekly digest in Slack

EasySolar to Slack, Microsoft Teams or Google Chat

Instead of a notification for every single customer, one message every Monday at 9 a.m. A list of the customers won last week and the projects the team worked on. Reps can see the shape of the pipeline, and you do not have to ask about it at the morning stand-up.

  • One message a week instead of dozens of pings
  • The same logic works on Teams, Google Chat and email
  • Switching from weekly to daily is one field in the Zap

How to build it

  1. Trigger EasySolar, New Client. Build a second Zap the same way on New Project.
  2. Action Digest by Zapier, Append Entry and Schedule Digest. Set the frequency to weekly, Monday, 9 a.m.
  3. Action Slack, Send Channel Message to the team channel, using the Current Digest field in the body.

A Google Sheets price list feeding your component database

Google Sheets to EasySolar

Procurement keeps the price list where it suits them, in a spreadsheet. A new row with a module or an inverter lands in the EasySolar component database together with its technical parameters. Designers pick hardware the supplier actually stocks, not what was available two quarters ago.

  • One spreadsheet as the single source of truth for the whole company
  • Separate tabs for modules, inverters and mounting systems
  • A Zap filter so only rows marked as approved get imported

How to build it

  1. Trigger Google Sheets, New or Updated Spreadsheet Row
  2. Filter Filter by Zapier, letting through only rows with complete data, for example a filled in power rating and price.
  3. Action EasySolar, Create Solar Panel, Create Inverter or Create Other Component, depending on the tab.

Getting started

Your first Zapier integration in fifteen minutes

No IT department and no training required. Because everything happens in the Zapier editor, a Zapier account and access to EasySolar is all it takes.

1. Connect the accounts

Search for EasySolar in Zapier and authorise the connection. You add the second app, calendar, Slack or spreadsheet, the same way.

2. Set the trigger and action

Pick the event that starts the automation and what should happen next. Fields are dragged from one app into the other.

3. Test it and switch it on

Zapier runs one test record so you can see the result before going live. After that the Zap works in the background.

FAQ

Frequently asked questions

Do I have to pay for Zapier?

Zapier has a free plan covering single-step automations and a limited number of runs per month. Scenarios that use a filter or a weekly digest need a paid plan. Your EasySolar subscription is billed separately, according to our pricing.

How quickly does data reach the other app?

EasySolar triggers work by polling. So a Zapier integration on the free plan checks for new data every 15 minutes, while paid plans check more often. For meetings and digests that is irrelevant. However, if you need a reaction within seconds, talk to us about the API.

Will it work with Outlook and Microsoft Teams instead of Google and Slack?

Yes. The EasySolar side of the Zap stays the same, and only the second app changes. Outlook Calendar, Microsoft Teams, Google Chat, Discord and plain email are all in the Zapier directory.

Can Zapier update an existing component or customer?

The EasySolar actions available today create new records: customers and components. To update existing entries, use our API. The search actions, Find Client and Find Project, let you check inside a Zap whether a record already exists.

Is my data safe?

Zapier passes only the fields you map yourself in the action step. You can disconnect EasySolar at any time in your Zapier account settings, which immediately stops every Zap using that connection.

What if my app is not in the Zapier directory?

If your warehouse or accounting system is missing from Zapier, the options are the EasySolar API or Webhooks by Zapier, which sends the data to any address you choose. Get in touch and we will tell you which route is shorter.

Set up your first automation today

Start with the calendar. It is the scenario your team feels from day one, and the rest of your Zapier integration then follows on its own.
